Payroll and Expense Coordinator

The Payroll Coordinator processes payroll across the NDN ecosystem, corresponds with team members as necessary regarding expenses, and provides overall assistance in the Finance Department.

Position Title: Payroll and Expense Coordinator

Location: Remote or Hybrid –  Rapid City, SD Headquarters Office

JOB SUMMARY:

Reporting to the Director of Finance, the Payroll Coordinator processes payroll across the NDN ecosystem, corresponds with team members as necessary regarding expenses, and provides overall assistance in the Finance Department.

  3. We are building capacity in Indigenous communities to be able to absorb this new influx of capital.
  4. We are advocating for Indigenous rights and policy changes that will enable our peoples and communities to thrive.

THE POSITION

PRIMARY DUTIES AND RESPONSIBILITIES

Processing of Payroll

  • Prepares and processes payroll including changes and adding new employees
  • Prepares payroll journal entries and enters in accounting system
  • Monitors accrued paid time off balances in conjunction with outside payroll service
  • Supports Human Resources staff in managing registration for payroll for employees in different states
  • Maintains departmental allocations for payroll and employee benefit costs

Processing Employee Expenses

  • Ensures proper review, approval and coding for employee expense reimbursements and credit card transactions within the applicable system (i.e., expense management software, QuickBooks) as well as maintenance of required supporting documentation
  • Serves as primary contact for employees for questions regarding expense management software and expense coding

Other Duties

  • Supports audit process
  • Assists with developing policies, procedures, and forms
  • Assists in developing, implementing, and maintaining computer systems and applications, tracking systems, databases, and spreadsheets
  • Performs other supporting tasks for fiscal department, as assigned

WHO YOU ARE

EDUCATION AND EXPERIENCE

  • Associates degree or equivalent in accounting, finance, business management/administration, or a related field is required.
  • Two years of prior accounting or administrative experience handling payroll, preferably in a nonprofit setting.
  • Any combination of training, education, and experience that would provide the required knowledge, skills, and abilities.

SKILLS AND ABILITIES

  • Ability to manage time efficiently and prioritize tasks 
  • Ability to effectively work under tight deadlines and manage projects independently 
  • Ability to work independently or as a team member with multiple tasks at hand and with set timeframes 
  • High attention to detail with ability to demonstrate sound judgment 
  • Self-driven and flexible to change
  • Experience with QuickBooks and Paychex, a plus

This position is salaried, commensurate with experience, ranging from $48,000 to $63,000.  Benefits include medical, dental and vision insurance as well as 401(k) retirement plan, a wellness program, sick leave, personal leave and professional development.
